Community Room Registration
We are excited to offer the Hargray Communications Community Room for public use. If you are interested in using our room for your event or meeting, begin by reading through the guidelines and conduct of the community room before submitting your request form.

This will ensure that we are the right fit for your needs. After reading through the description, please answer each section fully. The more details that you provide will make for a more well attended event and an expedited application process.
Community Room Guidelines
- BSH is a Smoke Free Building
- BSH’s Community Room has carpeted floors and windows on two sides.
- The room is upstairs from BSH’s food and clothing distribution areas and there is currently no wheelchair accessibility.
- The room is rectangular, and is approximately 20 feet wide by 40 feet long.

SCHEDULING
- Events will be reviewed for scheduling by our director. At the discretion of the director, events may be offered sponsorship of fees based on whether the event promotes BSH’s Mission and Vision, is open to the public, has wide appeal within our membership, broadens our community’s diversity and meets a need in our existing schedule of events.
- Events may be scheduled up to one year in advance.
- Ongoing events can be scheduled for up to three month periods, and then will be eligible for renewal. To apply for renewal of an ongoing event please contact. The director is not responsible for contacting you or for automatically renewing your classes.
OFF and ON USE AREAS
- The staff kitchen adjacent to the community room is available for use under permission only. Please specify anticipated kitchen needs on your application and we will review.
- There is a bathroom adjacent to the room for participants to use.
GENERAL PROCEDURES
- Please make sure the room is left in the state you found it in. This may require: sweeping, mopping, taking out garbage and / or recycling, and picking up in general. Please allow 30 minutes for this after the end of your event.
- Payment is expected no later than 24 hours prior to the event.
- Please be aware of time and respect the time for which you have reserved the room. We have a busy schedule that at times is not displayed on the public calendar. Please do not assume that because you don’t see a scheduled event, that there isn’t one.
- If your application is processed in the calendar month prior to your event we will include it in our monthly Community Room Calendar. We recommend you doing your own publicity for your event following the guidelines outlined by BSH.
- Please allow three days processing time once you turn in your application form.
PARTICIPANT REGISTRATION
- There are 40 available chairs located in the room connected to the community room.
- Please call BSH 3–7 days in advance to let the director know if there are over 20 people registered for the event, or you are expecting 20+ people between pre-registration and day of registration. (This is important to ensure that we have adequate staffing and support on the floor).
- BSH does not collect money for your event or act as an agent for event registration.
- Please provide your participants with your complete contact information, websites, etc., as needed to enable them to register and pay you/your organization as needed.
COMMUNITY ROOM RENTAL FEE and REFUNDABLE ROOM DEPOSIT*
Our rental fee is $35 if food is not offered and $50 if food will be offered for every four hours you use the room. Fees are based on a four hour minimum and 8 hour maximum per day. A $35 refundable room deposit is required when you apply for rental of the room.
- Rental payment for the room is due no later than 24 hours prior to the event. The manager on duty (MOD) will check to make sure you have paid when you check IN with her/him at the beginning of your event (see payment and checkout form).
- If you would like to pay beforehand, please document this on the payment and check out form.
* These fees help BSH cover the cost of administering the community room.
