Community Room Registration

We are excited to offer the Hargray Com­mu­ni­ca­tions Com­mu­nity Room for pub­lic use. If you are inter­ested in using our room for your event or meet­ing, begin by read­ing through the guide­lines and con­duct of the com­mu­nity room before sub­mit­ting your request form.

Com­mu­nity Room Guidelines

  • BSH is a Smoke Free Building
  • BSH’s Com­mu­nity Room has car­peted floors and win­dows on two sides.
  • The room is upstairs from BSH’s food and cloth­ing dis­tri­b­u­tion areas and there is cur­rently no wheel­chair accessibility.
  • The room is rec­tan­gu­lar, and is approx­i­mately 20 feet wide by 40 feet long.

Please care­fully read the Com­mu­nity Room Guide­lines. You will be respon­si­ble for adher­ing to them:

SCHEDULING

  • Events will be reviewed for sched­ul­ing by our direc­tor. At the dis­cre­tion of the direc­tor, events may be offered spon­sor­ship of fees based on whether the event pro­motes BSH’s Mis­sion and Vision, is open to the pub­lic, has wide appeal within our mem­ber­ship, broad­ens our community’s diver­sity and meets a need in our exist­ing sched­ule of events.
  • Events may be sched­uled up to one year in advance.
  • Ongo­ing events can be sched­uled for up to three month peri­ods, and then will be eli­gi­ble for renewal. To apply for renewal of an ongo­ing event please con­tact.  The direc­tor is not respon­si­ble for con­tact­ing you or for auto­mat­i­cally renew­ing your classes.

OFF and ON USE AREAS

  • The staff kitchen adja­cent to the com­mu­nity room is avail­able for use under per­mis­sion only.  Please spec­ify antic­i­pated kitchen needs on your appli­ca­tion and we will review.
  • There is a bath­room adja­cent to the room for par­tic­i­pants to use.

GENERAL PROCEDURES

  • Please make sure the room is left in the state you found it in.  This may require: sweep­ing, mop­ping, tak­ing out garbage and / or recy­cling, and pick­ing up in gen­eral.  Please allow 30 min­utes for this after the end of your event.
  • Pay­ment is expected no later than 24 hours prior to the event.
  • Please be aware of time and respect the time for which you have reserved the room.  We have a busy sched­ule that at times is not dis­played on the pub­lic cal­en­dar. Please do not assume that because you don’t see a sched­uled event, that there isn’t one.
  • If your appli­ca­tion is processed in the cal­en­dar month prior to your event we will include it in our monthly Com­mu­nity Room Cal­en­dar. We rec­om­mend you doing your own pub­lic­ity for your event fol­low­ing the guide­lines out­lined by BSH.
  • Please allow three days pro­cess­ing time once you turn in your appli­ca­tion form.

PARTICIPANT REGISTRATION

  • There are 40 avail­able chairs located in the room con­nected to the com­mu­nity room.
  • Please call BSH 3–7 days in advance to let the direc­tor know if there are over 20 peo­ple reg­is­tered for the event, or you are expect­ing 20+ peo­ple between pre-registration and day of reg­is­tra­tion.  (This is impor­tant to ensure that we have ade­quate staffing and sup­port on the floor).
  • BSH does not col­lect money for your event or act as an agent for event registration.
  • Please pro­vide your par­tic­i­pants with your com­plete con­tact infor­ma­tion, web­sites, etc., as needed to enable them to reg­is­ter and pay you/your orga­ni­za­tion as needed.

COMMUNITY ROOM RENTAL FEE and REFUNDABLE ROOM DEPOSIT*

Our rental fee is $35 if food is not offered and $50 if food will be offered for every four hours you use the room. Fees are based on a four hour min­i­mum and 8 hour max­i­mum per day. A $35 refund­able room deposit is required when you apply for rental of the room.

  • Rental pay­ment for the room is due no later than 24 hours prior to the event.  The man­ager on duty (MOD) will check to make sure you have paid when you check IN with her/him at the begin­ning of your event (see pay­ment and check­out form).
  • If you would like to pay before­hand, please doc­u­ment this on the pay­ment and check out form.

* These fees help BSH cover the cost of admin­is­ter­ing the com­mu­nity room.
